An intranet-in-a-box on SharePoint Online and Office 365

The brief

  • Following a period of sustained growth, Valeo Foods wanted to replace their old intranet with something based on SharePoint and Office 365 in order to leverage the productivity benefits of a modern digital workplace.
  • A heavy reliance on email broadcasts meant that departments and teams needed their own spaces to publish information, share and collaborate.
  • Given the growing importance of quality, hygiene and safety standards in food production, Valeo Foods also wanted to upgrade their Quality Management System.  A key requirement was that factory floor workers had to have easy access to task and procedure documentation on mobile devices or in kiosks.
  • Automating the document creation workflows for new procedure documentation was also a requirement.

Our approach

  • The brief fitted well with a SharePoint intranet-in-a-box solution that could be built and deployed quickly to allow staff across the organisation to publish information and collaborate.
  • As a first step we met with stakeholders in the company to better understand their business challenges. This helped us pull together functionality recommendations and a site structure.
  • Within days of our kick off we delivered a wireframe prototype and structure for the project team to validate. In the meantime we worked on the design look and feel of the site to ensure it was in line with Valeo Foods’ branding guidelines.
  • Once signed off the solution was built, tested and delivered as an empty intranet for the staff to conduct UAT and populate with content. We provided quick and easy training for administrators and section owners.
  • We advised Valeo Foods to purchase Office 365 Business Essentials as it gave them a low cost license that included SharePoint and Yammer on which the solution would be built. Thanks to our relationship with Microsoft we were able to provide these licenses at a discount.

The result

  • The full working solution took 8 weeks from kick-off to sign-off.
  • Our main contacts have told us that staff buy-in has been strong and departments have been quick to take ownership of their sections.
  • The reduction in email use for broadcasts is noticeable and the intranet has become the go-to place for news and updates.
  • The Quality Management System has been set up with custom workflows so that compliance documentation can be easily created without reliance on email, print-outs and confusion with versions.
